Satellite symposia packages
Organizers are responsible for the full coordination of their satellite symposia and can select from two flexible packages: standard or premium.
Standard package

Choose from a pre-recorded, semi-live or fully live format. The table below provides details of each format.

Select a duration of either 60 or 90 minutes.

60-minute slots take place on Sunday, 23 July and Monday, 24 July to Wednesday, 26 July.

90-minute slots take place on Sunday, 23 July and Tuesday, 25 July.

This option offers an in-person session room with a smaller room capacity of up to 500 people. It includes standard conference set up (chairs, stage and podium) with audio-visual equipment.

An unlimited number of virtual delegates can attend.
Premium package

Choose from a pre-recorded, semi-live or fully live format. The table below provides details of each format.

Select a 60- or 90-minute duration or a 90-minute prime-time duration.

60-minute slots take place on Sunday, 23 July and Monday, 24 July to Wednesday, 26 July.

The 60-minute and 90-minute options offer an in-person session room with a bigger room capacity of more than 550 people. It includes standard conference set up (chairs, stage and podium) with audio-visual equipment.

The 90-minute PRIME option offers an in-person session room including standard conference set up (chairs, stage and podium) with audio-visual equipment, at a prime time.

An unlimited number of virtual delegates can attend.
For both packages, select one of the following formats:
FORMAT 1: Fully pre-recorded satellite symposium
The fully pre-recorded satellite symposium is streamed in parallel on the virtual platform and broadcast to in-person delegates at the scheduled time.
FORMAT 2: Semi-live satellite symposium
The semi-live satellite symposium is a combination of pre-recorded and live presentations, with speakers presenting live in person or virtually. The session is streamed in parallel on the virtual platform and broadcast to in-person delegates at the scheduled time.
FORMAT 3: Fully live satellite symposium
The fully live satellite symposium has speakers presenting virtually or in person. The session is streamed in parallel on the virtual platform and broadcast to in-person delegates at the scheduled time.

Satellite symposia fees
Which organizations do the different fees apply to?
- Non-commercial organizations:
- Category 1. This includes academia, non-profit organizations (international), people living with HIV networks, non-governmental organizations (community based or national) and advocacy networks.
- Category 2. This includes government representatives, UN agencies and philanthropic organizations.
- Commercial organizations:
- This includes diagnostic companies, pharmaceuticals, private sector companies and other commercial organizations (such as cooperatives, hospitals/clinics, media organizations and trade unions).

When will satellite symposia take place?

Who can host a satellite symposium at IAS 2023?
To be accepted for hosting a satellite symposium at IAS 2023, commercial and non-commercial organizations must meet the following criteria:

The organization reflects and/or supports the vision and goals of the conference.

The organization addresses HIV and AIDS, co-infections or issues faced by individuals or organizations affected by or responding to the HIV and AIDS epidemic.

The organization reflects the conference policies and goals of diversity and inclusion.
The IAS reserves the right to review satellite symposium content and reject any order if it perceives that the organization is not in line with the values and objectives of IAS 2023.
What is the difference between a regular time slot and a prime-time slot?
Prime-time slots apply to satellite symposia covering more than three different time zones and taking place during the first half of the conference.

How do I book a satellite symposium?
Satellite symposia orders are placed via the IAS 2023 online ordering system. This provides a simple ordering process, which requires you to create an account and place your order.

How are satellite symposia scheduled?
The scheduling of satellite symposia is at the discretion of the IAS 2023 Satellites team. Only Major Industry Sponsors can select their satellite symposium slot.
The Satellites team schedules satellite symposia on a first-come, first-served, first-paid basis based on the dates when applications and payments are received, as well as availability of the satellite organizers’ chosen satellite symposium duration (60 minute, 90 minute or prime time).
Do satellite symposia speakers need to be registered?
Speaker(s) who will present in person in Brisbane will need to be registered. They can either register for the full conference or buy a day pass for the day of satellite, which will grant access to the full conference for that day.
Speaker(s) who will join virtually only to present during the satellite will be granted access to the green room (back-end access) to present during the satellite. No conference registration is required to access the green room for the satellite symposium presentation.

Can satellite symposium organizers attend the conference?
To attend the conference, satellite organizers need to be registered for IAS 2023.
What is included in in-person session rooms?
Session rooms are equipped with standard conference equipment, including chairs, stage and podium, and standard audio-visual equipment. We will share more details as soon as we can.
You can hire additional equipment from the official conference contractor and other third-party conference suppliers.
What technical support is provided?
For pre-recordings:

Pre-recording of presentations with the IAS 2023 selected supplier, including support before and during the pre-recording

What is the satellite symposia change or cancellation policy?
If the IAS changes the conference format to fully virtual, all satellite symposia will be run fully virtually at the same satellite symposium package price structure.
IAS 2023 allows you to change the format of your satellite package as follows until 30 March 2023, 23:59 CET:

If there is a change from a semi-live satellite symposium to a fully pre-recorded or fully live satellite symposium, or from a fully live satellite symposium to a fully pre-recorded satellite symposium, the difference will be refunded free of charge.

If there is a change from a fully pre-recorded satellite symposium to a semi-live or fully live satellite symposium, or from a fully live satellite symposium to a semi-live satellite symposium, the difference will be charged.
