Satellite symposia at AIDS 2026, the 26th International AIDS Conference, provide a unique opportunity to showcase your organization to scientists, healthcare professionals, policy makers, people living with HIV, funders, media and other key players in the HIV response.

Organizers are responsible for the full coordination of their satellite symposia and can select from two flexible packages:

Package A

Room capacity: Over 550 people*

Select a duration of either:

  • 60 or 90 minutes
    • 60-minute slots take place in the morning of Monday, 27 July.
    • 90-minute slots take place in the morning of Monday, 27 July, and in the evening of Thursday, 30 July.
  • 60 or 90 minutes in prime time
    • 60-minute prime-time slots take place at lunchtime and in the afternoon from Tuesday to Thursday, 28-30 July.
    • 90-minute prime-time slots take place in the afternoon on Monday, 27 July, and in the evenings on Tuesday and Wednesday, 28 and 29 July. 

Package B

Room capacity: Up to 550 people*

Select a duration of either:

  • 60 or 90 minutes
    • 60-minute slots take place in the morning of Monday, 27 July.
    • 90-minute slots take place in the morning of Monday, 27 July, and in the evening of Thursday, 30 July.
  • 60 or 90 minutes in prime time
    • 60-minute prime-time slots take place at lunchtime and in the afternoon from Tuesday to Thursday, 28-30 July.
    • 90-minute prime-time slots take place in the afternoon on Monday, 27 July, and in the evenings on Tuesday and Wednesday, 28 and 29 July. 

*Room capacities are based on current planning and may still be subject to adjustments in line with final conference requirements.

Both packages offer an in-person session room, with standard conference set up (chairs, stage and podium) and audio-visual equipment, as well as AI-powered interpretation and captioning for delegates. Delegates will need to use their own device to access this service. More information will be provided closer to the conference.

Satellite symposia fees

Different fees apply to different organizations: 

  • Non-commercial organizations:
    • Category 1. This includes academia, non-profit organizations (international), people living with HIV networks, non-governmental organizations (community based or national) and advocacy networks.
    • Category 2. This includes government representatives, UN agencies and philanthropic organizations.
  • Commercial organizations:
    • This includes diagnostic companies, pharmaceuticals, private sector companies and other commercial organizations (such as cooperatives, hospitals/clinics, media organizations and trade unions).

  • Prices are in USD.
  • For you to secure the early fee, we must receive orders and full payment or proof of payment (transfer slip) by 5 February 2026, 23:59 CET. Otherwise, the standard fee will apply.

Payment conditions

All prices are in USD. The IAS is a not-for-profit organization registered in Switzerland with no establishment in Brazil. The amount indicated on the payment order must be paid in full, free of any deductions for withholding taxes or bank charges. The IAS must receive the exact amount stated. The payer is solely responsible for any taxes or charges imposed by their jurisdiction on this payment order. The IAS shall bear no cost or responsibility for any local taxes related to satellites.

When will satellite symposia take place?

Please view the programme at a glance for provisional satellite symposia dates and times. These dates and times are subject to change.  

Who can host a satellite symposium at AIDS 2026?

To host a satellite symposium at AIDS 2026, commercial and non-commercial organizations must meet the following criteria: 

  • The organization reflects and/or supports the vision and goals of the conference.
  • The organization addresses HIV and AIDS, co-infections or issues faced by individuals or organizations affected by or responding to the HIV and AIDS pandemic.
  • The organization reflects the conference policies and goals of diversity and inclusion. 

The IAS reserves the right to review satellite symposium content and reject any order if it perceives that the organization is not in line with the values and objectives of AIDS 2026.

What is the difference between a regular time slot and a prime-time slot

Prime-time slots are held at peak times with the conference programming, which means there is likely to be higher attendance. Prime-time slots are:

  • Monday, 27 July, afternoon
  • Tuesday, 28 – Wednesday, 29 July, lunchtime, early afternoon, and evening
  • Thursday, 30 July, lunchtime

How do I book a satellite symposium?

You can place satellite symposia orders via the AIDS 2026 online ordering system. This offers a simple ordering process, which requires you to create an account and place your order. All orders placed are subject to AIDS 2026: Terms and conditions for satellites.

How are satellite symposia scheduled?

The scheduling of satellite symposia is at the discretion of the AIDS 2026 Satellites team. Only Major Industry Sponsors can select their satellite symposia slots.  

The Satellites team schedules satellite symposia on a first-come, first-paid, first-served basis. This relates to when applications and payments are received, as well as availability of the satellite organizers’ chosen satellite symposium duration (60 or 90 minutes) and whether it is during prime time.   

Do satellite symposia speakers need to be registered?

Speakers need to be registered. They can either register for the full conference or buy a day pass for the day of the satellite; a day pass will grant access to the full conference for that day.

What is included in the session rooms?

Session rooms are equipped with standard conference equipment, including chairs, stage and podium, and standard audio-visual equipment. We will share more details as soon as we can. 

 You can hire additional equipment from the official conference contractor and other third-party conference suppliers. 

Are special hotel rates available?

Yes. The AIDS 2026 Accommodation team has negotiated a variety of room and price categories in Rio de Janeiro. Find further details on the accommodation page.
