Accommodation bookings for AIDS 2026 are open

To help with your planning, the AIDS 2026 Accommodation team (c/o K.I.T. Group, the official housing provider for AIDS 2026) has pre-blocked hotel rooms in Rio de Janeiro. A variety of room and price categories in different hotels are available for conference delegates and groups.

Online accommodation booking system 

Through the accommodation booking system, you can book up to nine rooms. You can search hotel options by:

  • Hotel name
  • Distance to venue
  • Star rating
  • Room rate

Group bookings

You can book as a group if you wish to book 10 rooms or more. For bookings of less than 10 rooms, please go to the online accommodation booking system.

Please email requests for group bookings to the AIDS 2026 Accommodation team (c/o K.I.T. Group) at accommodation@aids2026.org

Please include the following information when contacting the AIDS 2026 Accommodation team:

  • Check-in and check-out dates
  • Number of rooms per night
  • Maximum rate per night
  • Any other hotel preferences, such as distance from the venue or specific facilities in a hotel

Once you have confirmed a group booking, you will be asked to sign a contract that sets out your requirements and hotel selection. It will also confirm the payment, change and cancellation policies.

Payment, changes and cancellation policies for the online accommodation booking system

  • For payment by bank transfer, you will receive an email indicating that your booking request has been received. A payment order will then be sent by email with the bank details to transfer the full amount due. If the AIDS 2026 Accommodation team (c/o K.I.T. Group) does not receive payment within 14 working days of the booking being made or by 19 March 2026 (whichever is earlier), as per the general terms and conditions, the booking request will automatically be cancelled.
  • When using a credit card, K.I.T. Group will charge the full balance due for the entire stay at the time of room reservation.
  • From 19 March 2026, only credit card payments will be accepted, and the provided credit card will be debited upon receipt of the booking with the full balance due.
  • When a booking request is submitted on the system, an email is automatically sent, indicating that your booking request has been received. A booking confirmation will be sent upon receipt of the full payment. An accommodation invoice will be sent out automatically to each guest after the conference.
  • For cancellations received by 19 March 2026, K.I.T. Group will retain a non-refundable administrative fee of USD 30.00.
  • For cancellations or booking changes received after 19 March 2026, including a reduction in length of stay, no refunds will be possible.
  • The hotel will automatically release no-shows at 09:00 after the first day of the booking, and no refund will be possible. 

Please note that any changes and cancellations must be sent by email to the Accommodation team at accommodation@aids2026.org. Hotels will not accept any changes or cancellations directly.

Complimentary transportation

To make your conference experience as smooth and stress-free as possible, the IAS is arranging complimentary transportation. Buses will run at scheduled times between dedicated pick-up points and the conference venue. The exact pick-up points and full transportation schedule will be shared closer to the conference date.
