Satellite symposia packages

Organizers are responsible for the full coordination of their satellite symposia and can select from two packages:

1. Hybrid satellite symposium

The hybrid satellite symposium is a combination of pre-recorded and/or live presentations, with speakers presenting live in person and/or virtually or with a pre-recorded presentation.

The session is streamed in parallel on the virtual platform and broadcast to in-person delegates at the scheduled time.

  • Select a session duration of either 60 or 90 minutes.

  • This option offers an in-person session room. It includes standard conference set up (chairs, stage and podium) with audio-visual equipment.

  • An unlimited number of delegates can attend virtually.

2. Pre-recorded satellite symposium

The fully pre-recorded satellite symposium is streamed in parallel on the virtual platform and broadcast to in-person delegates at the scheduled time.

  • Select a session duration of either 60 or 90 minutes.

  • This option offers an in-person session room. It includes standard conference set up (chairs, stage and podium) with audio-visual equipment.

  • An unlimited number of delegates can attend virtually.

When will satellite symposia take place?

Who can host a satellite symposium at HIVR4P 2024?

To be accepted for hosting a satellite symposium at HIVR4P 2024, commercial and non-commercial organizations must meet the following criteria:  

  • The organization reflects and/or supports the vision and goals of the conference.  
  • The organization addresses HIV and AIDS, co-infections or issues faced by individuals or organizations affected by or responding to the HIV and AIDS pandemic.  
  • The organization reflects the conference policies and goals of diversity and inclusion.  

The IAS reserves the right to review satellite symposium content and reject any order if it perceives that the organization is not in line with the values and objectives of HIVR4P 2024. 

How do I book a satellite symposium?

Satellite symposia orders are placed via the HIVR4P 2024 online ordering system. This is a simple ordering process, which requires you to create an account and place your order. All orders placed are subject to HIVR4P 2024: Terms & conditions for satellite symposia.

How are satellite symposia scheduled?

The scheduling of satellite symposia is at the discretion of the HIVR4P 2024 organizers.

Do satellite symposia speakers need to be registered?

Speaker(s) who will present in person in Lima will need to be registered. They can either register for the full conference or buy a pass for the day of the satellite, which will grant access to the full conference for that day.

Speaker(s) who will join virtually only to present during the satellite will be granted access to the green room (back-end access) to present during the satellite. No conference registration is required to access the green room for the satellite symposium presentation.

Can satellite symposium organizers attend the conference?

To attend the conference, satellite organizers need to be registered for HIVR4P 2024.

What is included in in-person session rooms?

Session rooms are equipped with standard conference equipment, including chairs, stage and podium, and standard audio-visual equipment. We will share more details as soon as we can. 

You can hire additional equipment from the official conference contractor and other third-party conference suppliers. 

What technical support is provided?

For pre-recordings:

  • Detailed pre-recording guidelines 

  • Technical support during the scheduled satellite

For hybrid satellites:

  • Technical audio-visual support during the scheduled satellite  

  • Technical support on the virtual platform during the scheduled satellite symposium 

What is the satellite symposia change or cancellation policy?

If the IAS changes the conference format to fully virtual, all satellite symposia will be run fully virtually at the same satellite symposium package price structure.

HIVR4P 2024 allows you to change the format of your satellite package as follows until 30 April, 23:59 CEST:

  • If there is a change from a hybrid satellite to a fully pre-recorded satellite, the difference will be refunded in full.
  • If there is a change from a fully pre-recorded satellite to a hybrid satellite, the difference will be charged.
