FAQs

I was selected for in-person attendance. How will you support me with my visa application and related fees for Peru?

We will provide you with supporting documents for your visa application. This includes an official letter of invitation from the IAS, which invites you to the conference, and a scholarship award letter showing the financial support you have been awarded to facilitate your attendance. However, please note that it is your responsibility to apply for your visa and that we are not in a position to contact embassies to enquire about individual cases. We highly recommend that you apply for a visa as soon as possible. Find information about applying for a Peruvian visa on the HIVR4P 2024 immigration page.

If your visa application is unsuccessful, we can switch your attendance type to virtual if you wish by 30 August.

I am a scholarship recipient and received travel support, but the travel agent has not contacted me. What should I do?

Your details have already been forwarded to our travel agency. Please note that with 200 recipients requiring bookings, we are currently prioritizing people whose visa application process takes the longest.

Please check your inbox and especially your spam folder regularly. You will receive a travel offer as soon as possible. Please do not book anything on your own as we will not be able to reimburse you for any costs.

I have been selected for in-person attendance. Do I need travel insurance to go to Lima?

We recommend that anyone travelling abroad who does not already have travel health insurance obtains this coverage for the duration of their trip.

I am a scholarship recipient and received accommodation support. Where will I stay and how do I get the booking confirmation?

We have pre-reserved enough rooms for all our scholarship recipients who received accommodation support. You will soon receive an accommodation voucher with details of your accommodation, which you should enclose with your visa application.

I am a scholarship recipient and need proof of my award. How can I go about this?

Your award letter is ready for download in your conference account. If any personal information in your letter is wrong, please change the information directly in your account by clicking on your name in the upper-right corner and then on “User account”. Log out and back in and re-download your corrected award letter.

I am a scholarship recipient for in-person attendance. How do I get my letter of invitation?

In-person scholarship recipients requiring an invitation letter from the IAS can request one while completing the online registration form. Scholarship recipients who did not request an invitation letter during the registration process should get in touch with the HIVR4P 2024 Registration team at registration2024@hivr4p.org.

It is important to note that this letter of invitation does not impose any financial obligations on the IAS. Furthermore, the letter of invitation does not guarantee the issuance of a visa for entry into Peru.

I want to submit a late-breaker abstract and apply for a scholarship. If I receive a scholarship, what support will I receive?

We have a limited number of in-person scholarships available for late-breaker abstract presenters. When submitting your late-breaker abstract, you will have the option of ticking a box in the abstract system to indicate that you require a scholarship for your conference participation. We will do our best to accommodate your request.

I received a scholarship linked to an abstract for the conference, but I can no longer attend. What should I do?

If the presenting author changes, the scholarship is cancelled unless a request is made to transfer the grant to the new presenting author, facilitator or organizer. The deadline to notify the Scholarship team and request a scholarship transfer is 30 August.

If the submitter or presenter(s) withdraws an abstract from presentation, the scholarship is cancelled.

What happens if I can no longer travel to the conference?

Recipients who have received a scholarship for in-person attendance but can no longer travel should notify the Scholarship team as soon as possible. The deadline to request a change from in-person attendance to virtual attendance is 30 August.

My scholarship application was unsuccessful. How can I register for the conference at a reduced rate?

We have extended the early registration fee for all candidates who were not granted a scholarship for three weeks after the scholarship results are announced. To take advantage of this offer, please sign in to your HIVR4P account and make sure that your personal information is complete and correct (by clicking on your name in the top right-hand corner and then on “User account”). You will be able to register as a delegate in the “Registration” section. Please keep in mind that you must register by 2 July, 23:59 CEST, to take advantage of this offer.

You will also have the option of reserving hotel rooms in a variety of room and price categories in different hotels through your conference account.

My scholarship application was unsuccessful. Why didn’t I get selected?

There may be various reasons why your scholarship application was not selected. Keep in mind that with over 1,300 applications, even very good applicants may not always receive a scholarship.

Here is a non-exhaustive list of reasons for non-selection to help you prepare a stronger application next time:

  • Incorrect letter of recommendation or CV: Make sure that your letter and CV follow the guidelines in our scholarship application guide.
  • Use of AI or copied content: Applications completed using AI tools or copied content may be rejected, as stated in the scholarship terms and conditions.
  • Non-English application: Ensure that your application is in English only as this is a requirement.
  • Not directly involved in the field of HIV prevention: Applicants who are not directly working, studying or volunteering in the field of HIV prevention may not be considered.

Competition is fierce each year, but addressing these areas can significantly improve your chances of success in future IAS scholarship applications.

I am having technical problems with my conference account. What can I do?
