Booking your hotel room

Should you need help in booking a hotel room, please contact the HIVR4P 2024 Accommodation team (c/o K.I.T. Group, the official housing provider for HIVR4P 2024) at accommodation2024@hivr4p.org.

Payment, changes and cancellation policies for the online accommodation booking system

• When making a booking, a USD 25 non-refundable deposit is taken on a credit card booking.

• On 20 June 2024, the full value of the reservation indicated on the hotel booking form will be charged, minus the USD 25 deposit already taken, to the credit card supplied at the time of booking. If a credit card is declined, the room(s) will be cancelled.

• For payment by bank transfer, you will receive an email indicating that your booking request has been received. A payment order will then be sent by email with the bank details to transfer the full amount due. If the HIVR4P 2024 Accommodation team (c/o K.I.T. Group) does not receive payment within 14 working days of the booking being made or by 20 June (whichever is earlier), as per the general terms and conditions, the booking request will automatically be cancelled.

• When a booking request is submitted on the system, an email is automatically sent indicating that your booking request has been received. A booking confirmation will be sent upon receipt of the full payment. An accommodation invoice will be sent out automatically to each guest after the conference.

• For cancellations received after 20 June, including a reduction in length of stay, no refunds will be possible.

Please note that any changes and cancellations must be sent by email to the Accommodation team at accommodation2024@hivr4p.org. Hotels will not accept any changes or cancellations directly.

The hotel will automatically release no-shows at 09:00 after the first day of the booking, and no refund will be possible.
